How Kankavati Vevishal Parichay Kendra collects, uses, keeps and shares the details given in its bio-data form, and the terms on which the form and the bureau's services are used.
1. About this policy
This Privacy Policy and Terms of Use (the "Policy") apply to this website, to the bio-data form on it, and to the services of Kankavati Vevishal Parichay Kendra (the "Bureau"), a marriage information bureau operated by Shri Saurashtra Patel Seva Samaj, Surat (the "Operator"). They apply in the same way to a bio-data given on the Bureau's paper form and typed in by its staff.
In this Policy, "you" means the person who fills in or sends the form, whether that is the candidate, a parent, a guardian or a relative, and, where the context needs it, the candidate whose bio-data it is. "Bio-data" means all the details and photographs given about a candidate and their family.
By opening, filling in or sending the bio-data form, or by giving a bio-data to the Bureau in any other way, you confirm that you have read and understood this Policy and that you accept it in full. If you do not accept any part of it, do not fill in or send the form.
2. What the Bureau does, and what it does not do
The Bureau is a community introduction service. It collects the bio-data of persons who wish to marry, keeps them in a register, and may introduce families to one another so that they can consider a proposal.
The Bureau is not a party to any conversation, meeting, proposal, engagement, marriage or other arrangement between families. It does not act as an agent, broker, guarantor, adviser or representative of any person or family.
The Bureau does not promise or guarantee that any introduction, reply, meeting, engagement or marriage will follow from a registration, or that it will follow within any time.
Registration is at the Bureau's discretion. Every bio-data, whether sent online or on paper, waits in review until the Bureau's staff approve it. The Bureau may approve, reject, put on hold or remove any bio-data at any time.
3. Information the Bureau collects
The Bureau collects only what is asked for in its bio-data form, and what you choose to give in it. Depending on the answers, this includes:
- the candidate's name, gender, date of birth, height, weight, caste and native place;
- education, occupation, and work or business details;
- contact details: mobile numbers (with a country code for a number outside India), an e-mail address if given, and addresses;
- details of the candidate's parents, brothers and sisters, maternal family and other relatives;
- marital status and, where it applies, details of an earlier marriage;
- other details the form asks for, such as disability, living abroad or blood group, where you give them;
- partner preferences;
- a passport-size photograph and, if you choose, full-size photographs, which may also be given as a PDF;
- who filled in the form, and the person to contact about it.
When a bio-data comes on the Bureau's paper form, the office types the same details into the same form and may keep a scan of the signed paper form.
When a form is sent from this website, the Bureau's server also records the date and time, the internet (IP) address it came from and the type of browser used. These are kept to protect the service against misuse, and are not used to follow anybody.
4. Information the Bureau does not collect
The website does not ask for, and the Bureau does not keep, Aadhaar numbers or copies of Aadhaar cards, certificates or other documents. Where the Bureau needs to see a document, it is seen in person at the office, and no copy of it is kept in the Bureau's system.
The website does not ask for bank, card or payment details, and does not take any payment.
The website does not use advertising, tracking or analytics services.
5. Sensitive details
A bio-data holds details that are personal and sensitive, such as caste, health or disability, marital history, family details and photographs. You give them by your own choice, for the purpose of finding a suitable match, and you consent to the Bureau keeping and using them for that purpose as this Policy describes.
6. Your consent, and your authority to give the details
By sending a bio-data, you confirm, as the form itself asks you to, that every detail in it is true and correct, and that you give your guarantee for it as the candidate or the guardian.
If you fill in the form for somebody else, you also confirm that you are the candidate's parent, guardian or relative, that the candidate knows of and agrees to the registration, and that you have the consent of every person whose details you give, including parents, brothers and sisters and other relatives.
The candidate must have reached the minimum age for marriage under Indian law on the day the form is sent: 21 years for a groom and 18 years for a bride. The bio-data of a person below that age must not be given, and the form does not accept it.
You may withdraw your consent at any time by asking the Bureau to remove the bio-data (see "Correcting or removing a bio-data"). Withdrawing consent does not undo anything done before it, including a bio-data already shown or handed to another family.
7. How the Bureau uses the information
The Bureau uses a bio-data only for its work as an introduction service. That is:
- to read the form, review it and register it;
- to keep its register, and to search it for suitable matches;
- to show or hand a bio-data, including its photographs and contact details, to families the Bureau finds suitable, on paper or in any other way;
- to contact you by phone, SMS or WhatsApp about the registration, for example to say that a form has arrived or has been approved, or to ask whether the search is still on;
- to prepare counts and reports for its own use, which do not name anybody;
- to protect the website and the service against misuse, and to meet its obligations under law.
The Bureau does not sell any personal information, and does not use it for advertising.
9. If you receive a bio-data
A bio-data given to you by the Bureau is given in confidence, and only so that your family can consider a marriage proposal. You must not copy, publish, post on social media, forward to anybody who is not concerned, or use it for any other purpose.
You are responsible for any misuse of a bio-data given to you. The Bureau may stop giving bio-data to anybody who misuses them.
10. How the information is kept safe
The information is kept on the servers the Bureau uses. Photographs and files are never placed at a public address on the website; they are shown only to the Bureau's staff after they sign in. Photographs are saved again on upload, which removes hidden details from the file, such as the place where a photograph was taken. Important changes made by the staff are recorded in an activity log.
The Bureau takes reasonable care to protect the information. However, no website, server or transfer over the internet can be made completely secure, and you give information at your own risk. The Bureau is not responsible for any loss, misuse, change or disclosure of information caused by events beyond its reasonable control, including unauthorised access, hacking, malicious software, or the failure of a service provider, a network or a device.
11. What stays on your phone or computer
If you stop filling in the form halfway, what you typed is kept in that browser, on that phone or computer, for 12 hours, so that you can come back and carry on. It is cleared as soon as the form is sent. Photographs are not kept this way. The language you choose is also remembered in that browser.
If you use a shared or public phone or computer, press "Start over" in the form to clear what you typed, and close the browser when you finish. The Bureau is not responsible for what others see on a device you used.
No cookies are used for the families who fill in the form. The staff sign-in uses one cookie, which is needed for it to work.
12. How long the information is kept
- A registered bio-data is kept until the candidate or the family asks for it to be removed, or until the Bureau removes it. The Bureau may call from time to time to ask whether the search is still on.
- Photographs and files added to a form that is never sent are deleted by themselves within 48 hours.
- A removed bio-data is deleted for good, with its photographs and files, and leaves the Bureau's safety backups within 14 days.
- The activity log keeps a record that a removal happened, with the application or registration number and the reason, but never the bio-data itself.
13. Correcting or removing a bio-data
To correct a detail, or to have a bio-data removed, contact the Bureau's office with the application or registration number. Corrections are made by the office; a bio-data cannot be changed from the website after it has been sent.
Please tell the office when an engagement or marriage is settled, or when the search stops, so that the bio-data is not shown to more families.
The Bureau may ask you to show who you are, and that you are entitled to ask, before it acts on a request.
14. Accuracy of the details: no verification by the Bureau
You alone are responsible for the truth, accuracy and completeness of every detail and photograph you give, and for telling the office when any of them changes.
The Bureau reads each form to see that it is complete and that the photographs can be used. It does not check or verify the truth of any detail, including a person's identity, age, education, occupation, income, family background, health, marital status, character or conduct, and it makes no statement and gives no guarantee about any of them.
As the rules printed on the form say, checking that the details of a bio-data are correct is the responsibility of the person using them, and the organisation and the community are not legally responsible for this. Every person and family who receives a bio-data must make their own full enquiries, at their own cost and risk, before taking any step or decision.
Giving false or misleading details, another person's details, or another person's photograph may lead to the bio-data being removed, and may be an offence under law.
15. No responsibility for outcomes
The Bureau, the Operator, and their trustees, office bearers, members, staff and volunteers are not responsible or liable in any way for:
- the truth or accuracy of any bio-data, or of anything said or given by any person or family;
- any introduction, conversation, meeting, proposal, engagement or marriage, or the breaking of any of them, or any dispute between persons or families;
- any fraud, misrepresentation, cheating, harassment, misconduct or offence by any person a family meets or hears of through the Bureau;
- any money, gift, loan or expense given, spent or lost, and any loss of time, reputation or opportunity;
- any use, copying or sharing of a bio-data by a person or family who received it;
- any error, delay, interruption, loss of data or unavailability of the website, the form or any message;
- any other loss, harm or damage, direct or indirect, arising from the use of the website, the form or the Bureau's services.
The website, the form and the services are provided "as is" and "as available", without any warranty of any kind, to the fullest extent the law allows.
Families are advised to make their own enquiries, to meet in a safe place with family members present, and to take independent advice where they need it.
16. Indemnity
You agree to indemnify and hold harmless the Bureau, the Operator, and their trustees, office bearers, members, staff and volunteers against any claim, loss, damage, penalty, cost or expense, including legal costs, that arises from false or misleading details you give, from details you give without the consent of the person concerned, from any misuse of a bio-data by you, or from any breach of this Policy by you.
17. Changes to the service and to this Policy
The Bureau may change, suspend or stop the website, the form or any part of its services at any time, without notice.
The Bureau may change this Policy at any time by publishing a new version on this page, with a new date. The version on this page when you use the website or the services applies to that use, and continuing to use them means that you accept the version in force.
18. Governing law and courts
This Policy, and any matter arising from the website, the form or the Bureau's services, is governed by the laws of India. The courts at Surat, Gujarat, alone have jurisdiction over any dispute.
This Policy is written in English. If it is ever translated, the English version is the one that applies.
19. Questions and complaints
For a question about this Policy, a correction, a removal, or a complaint about how a bio-data has been handled, contact the Bureau's office. The office will look into it and reply within a reasonable time.
